Terms of service

The agreement between an organizer and Exspedio when they use exspedio.com to sell tickets and booths through their own Stripe or Square account.

Last updated November 2, 2026

This is a template for Exspedio’s counsel to review before launch. It describes how the platform is built to work; it is not yet legal advice or a binding agreement.

The agreement

By creating an organization or using Exspedio — the website, the dashboard, the sites it serves on your behalf and the emails it sends — you agree to these terms and to our privacy policy. If you use Exspedio for a company or an association, you agree on its behalf and confirm you’re allowed to.

Who is who

  • Organizer — you: the organization that creates events, sells tickets, packages, add-ons and booths, and runs a site with Exspedio.
  • Buyer — an attendee or exhibitor who buys from you on your site.
  • Exspedio — the software platform. Exspedio is not a ticket seller, a promoter, a payment processor or the merchant of record for anything you sell.

Every sale on your site is a sale by you to your buyer, charged to your own Stripe or Square account. You are the seller, the merchant of record and the party responsible to the buyer for the event, its tickets and booths, refunds, taxes and consumer-protection obligations. Exspedio provides the tools and takes a fee from each sale.

Accounts and organizations

  • Give accurate details, keep your password secret, and tell us straight away if you think someone else has access. Two-factor authentication and passkeys are there for you to use.
  • An organization is the account: it owns the events, the site, the domain, the orders and the connected payment account. Its owner is responsible for the organization, for who they invite, and for the roles they give.
  • You’re responsible for everything done through your organization by its members.

Fees

  • Exspedio charges 2.5% of the price of each paid sale made through your site — tickets, packages, add-ons and booths — after discounts and before taxes, as published on our pricing page. There is no subscription, setup fee or per-seat charge. Free orders carry no fee.
  • The fee is collected as an application fee by your payment processor at the moment of each sale, and is shown on every order in your dashboard. Where we agree a different rate with you in writing, that rate applies and is shown the same way.
  • You choose, per event, whether to absorb the fee or add it to the buyer’s total as a service fee. If you pass it on, you’re responsible for presenting prices lawfully; Exspedio displays all-in prices and itemises the fee at checkout to help you comply with the FTC’s rule on unfair or deceptive fees and similar laws.
  • Your payment processor’s own fees (for example card processing) are between you and the processor, under their terms. Exspedio doesn’t set, collect or mark them up.
  • We’ll give at least 30 days’ notice by email before a change to the headline rates affects you.

Payments, payouts and refunds

  • To sell anything you connect a Stripe or Square account that you hold with them under their terms. Payments from your buyers go to that account; Exspedio never holds your funds and doesn’t pay you out. Payout timing is set by your processor.
  • You’re responsible for refunds, chargebacks and disputes on your sales, under your own refund policy (which Exspedio shows on your site) and the law where you sell. When you refund an order through Exspedio, our fee on the refunded amount is returned to you.
  • You’re responsible for the taxes on what you sell — collecting them, remitting them and the records that go with them. Exspedio can add a tax line to your checkout at the rate you set; it doesn’t work out what you owe.
  • If your processor suspends or restricts your account, selling on your site stops until it’s restored. If a connected account is disconnected, orders already paid stay in your dashboard.

Your buyers and exhibitors

  • Your relationship with attendees and exhibitors is yours: the terms of entry, the rules of the show, the exhibitor contract, cancellations and refunds. Exspedio puts your policies in front of buyers at checkout and in the exhibitor application, but isn’t a party to them.
  • Buyers’ personal information collected on your site belongs to you and is processed by Exspedio for you, as described in the privacy policy. You’re responsible for using it lawfully, including any marketing you send.
  • Tickets are issued with a QR code and are valid once. You decide what to do about duplicates, transfers and lost tickets.

Your site and your domain

  • Exspedio serves your site at a subdomain we give you and at any domain you connect. You must own, or be authorised to use, every domain you connect, and keep its DNS pointed at us for as long as you use it.
  • Your site carries your branding. Exspedio’s only mark on it is the line “Powered by Exspedio.com” in the footer, which you agree to keep.
  • We provision certificates for your domain through our hosting provider. If a certificate can’t be issued or renewed because of your DNS, the site may become unreachable at that domain until it’s fixed.

Your content

You own what you put on your site — names, text, images, logos, floor plans, exhibitor listings. You give Exspedio permission to store, copy, resize, process and serve it only as needed to run the service for you, including showing it to your buyers and sending it in your emails. You confirm you have the rights to everything you publish, including exhibitors’ logos and photographs of the venue.

Acceptable use

Don’t use Exspedio to:

  • sell tickets to events that don’t exist, won’t happen, or that you’re not authorised to sell for;
  • sell anything illegal, deceptive, infringing, hateful or dangerous, or anything your payment processor forbids;
  • collect payments for anything other than your own events and their booths, add-ons and packages;
  • send spam, harvest buyers’ data, impersonate anyone, or evade a processor’s rules;
  • probe, overload or attack Exspedio, scrape it, or resell it without our written agreement.

We may unpublish a site or an event, pause selling, or suspend an organization that breaks these rules, and will tell you why unless the law or safety prevents it. If a processor reports fraud or disputes on your account, we may suspend selling while it’s looked into.

Availability and changes

We work to keep Exspedio running, especially on show days, but we can’t promise it will be uninterrupted or error-free. Keep a printed attendee list for the door. We may change features; if a change removes something you rely on, we’ll tell organizers before it takes effect.

Ending your account

You can delete your organization at any time from Settings; your site and domain stop being served, and the data is deleted as described in the privacy policy. Orders already paid are between you and your buyers; export them first. We may end or suspend an organization that seriously or repeatedly breaks these terms. Sections that by their nature should survive (such as fees owed, ownership, disclaimers and liability) survive the end of the agreement.

Disclaimers and liability

Exspedio is provided “as is”. To the extent the law allows, we disclaim implied warranties of merchantability, fitness for a particular purpose and non-infringement, and we aren’t liable for indirect or consequential losses, lost profits, lost sales, or losses arising from your payment processor’s decisions, DNS you control, or events you cancel or change. Our total liability for any claim is limited to the fees you paid us in the 12 months before it arose. Nothing in these terms limits liability that can’t be limited by law.

You’ll defend and indemnify Exspedio against claims by your buyers, exhibitors, venues or authorities arising from your events, your sales, your content or your breach of these terms.

General

These terms are governed by the laws of the place where Exspedio’s operator is established, without regard to conflict-of-law rules, and its courts have jurisdiction — unless the law where you live gives you the right to bring a claim there. If part of these terms is unenforceable, the rest still applies. We may update these terms; for significant changes we’ll email organization owners at least 30 days before they take effect.
